Christmas party in a museum in the heart of Copenhagen. 200 guests and only 60 minutes to transform the exhibition hall into a venue ready for a full Christmas party with a three-course gourmet meal, DJ, and fun activities.
A returning customer approached us with a request for a Christmas party in the center of Copenhagen. They wanted to get away from the usual hotels and restaurants. They wanted something unique, in the heart of Copenhagen, at a location that was not just another banquet hall. So, after viewing several venues with them, we ended up choosing Nikolajs Kunsthal as the setting for their company party. But there was one problem. The museum is open to the public until one hour before the guests are due to arrive. In that one hour, the exhibition had to be packed away, all the equipment had to be brought in, the kitchen had to be installed, tables had to be set, the hall had to be decorated, lighting had to be rigged, and a gourmet dinner for 200 people had to be ready to serve.
Event logistics and preparation
Our trucks were parked outside the museum with all the equipment, tables, chairs, kitchen, food, and staff. The chefs had prepared the food so that they only had to concentrate on plating and serving on site.
The first task was to secure the exhibition. Then everything else came together in one coordinated flow. Tables and chairs. White tablecloths. Winter wonderland styling. The kitchen equipment was set up in a separate area so that the chefs could work undisturbed.
The mood changed throughout the evening
The museum's own lighting was dimmed. Instead, we installed event lighting that highlighted the architecture of the room and created atmosphere. It wasn't just light. It was light that could change character and color throughout the evening, from the more subdued atmosphere during dinner to something more atmospheric when the party took over later.
Guests arrived to a welcome drink and a space that felt like anything but a museum. They socialized while the chefs put the finishing touches on the menu in the kitchen.
A three-course sharing-style dinner
Dinner was served as a three-course gourmet menu in sharing style. Prepared on site by a professional chef. The food was brought to the tables by our event staff, and the dishes were served at a pace that suited the atmosphere. The customer gave the welcome speech and organized a Christmas gift game that got the guests involved.
After dinner, the DJ took over and the party shifted gears. We had set up activity zones with fun activities so that guests could move around and experience the space in different ways. The lighting changed to match the mood, and the party continued into the night.
Christmas lunch in unique surroundings
It was a Christmas party in the middle of Copenhagen, in a room that normally houses an exhibition, but that evening the place had been transformed into a fully functional party venue. Not a traditional Christmas party. Not another dinner at a conference center. But an evening that felt different because the location was different. And because all the practicalities were taken care of, so the customer could enjoy the party.
